Volunteer Job Descriptions
BULLPEN PARENT: The Bullpen Parent will supervise children in the following age groups: 6 & under, 7-8, 9-10, 11-12, and 13 and up during the meets. Assemble the swimmers by their heats and lanes. Take the swimmers to the ready bench area prior to their races. Try to keep the swimmers in their respective age groups and not walking around at the meet this will make finding and organizing the swimmers much easier. There will be one parent each meet assigned as the Lead Bullpen Parent. The Head Coach will communicate any changes made in the heat sheets to the Lead Bullpen Parent whose responsibility is to disseminate this information to each Bullpen parent.
READY BENCH: The Ready Bench Volunteer is at the starting blocks making sure the swimmers are in line and ready for their races. Swimmers can be easily distracted (especially the young ones), so it is important for the Ready Bench Volunteer to make sure the swimmers actually step up to the blocks when it is their turn to race.
CONCESSIONS (HOME MEETS): The Concession stand volunteer will work with the Concessions Chair to help set up, sell and clean up the concession stand at the home meets.
CHECK IN: The person responsible for check-in will arrive slightly before the team and stay until right before the start of the meet to check in volunteers, hand out name tags to volunteers and to help volunteers understand where they need to be and what they need to be doing. This person will work closely with the Volunteer Coordinator on the day of the meet to help fill any vacant volunteer positions.
LABEL RIBBONS: This volunteer will take the printed labels and affix them to the ribbons. The ribbons are then placed in piles and alphabetized by swimmers. The coaches will distribute the ribbons at the next practice.
HEAD TIMER (HOME MEETS): The Head Timer will make sure that all lanes have the correct number of timers at home meets, hand out stopwatches and that all timers have working stopwatches. During the meets, the Head Timer will make sure the timers know how to time and know how to record the swimmers time correctly. The Head Timer will run two extra stopwatches as back up for stopwatch failure.
LANE TIMER: If you like to be close to the action, this job is for you. When the Meet Official sounds the starting tone, the timers start the stopwatches. When the swimmer touches the side of the pool, they stop the stopwatches and record the swimmers time. There will be three timers per lane.
HEAT RIBBONS: The volunteer will hand out heat ribbons to each swimmer after each heat/race. There are two volunteers for this position. The volunteer will watch who comes in first through fourth place. Then one volunteer will hand out first and second place while the other hands out third and fourth place.
MEET SET-UP AND CLEAN-UP: Before home meets, arrive two hours before the meet starts and help arrange tables, chairs, umbrellas, tents, signs, lane lines, starting blocks and flags. After the meet, stay to make sure everything is in its place and clean. Strong volunteers are needed to lift heavy items.
DECK RUNNER (HOME MEETS): The Deck Runner retrieves the time sheets from the timers as they complete the sheet and turns the sheet into the Score Keeper. This volunteer also picks up the DQ slips from the Stroke and Turn Judges after each heat and takes the slips to the Meet Official and then the Score Keeper. It is a good idea to wear comfortable shoes since this job requires a lot of walking.
SCORE KEEPER: The Score Keeper receives the time sheets from the Deck Runners. Then, the Score Keeper picks the middle of the three times to be the official time and circles that time. If there are only two times, the two are averaged. Time sheets are then passed to Data Entry.
EVENT FLIPPER (HOME MEETS): This volunteer will change the even numbers as directed by the Starter/Referee.
STROKE AND TURN JUDGE: The Stroke and Turn Judge watches the swimmers in each race to determine whether the swimmer is doing the correct and legal stroke. There is a mandatory league sponsored workshop. Please see the Stroke and Turn Judges Page for more information. It requires the knowledge of the USA swimming rules and regulations. Also, it requires the willingness to disqualify swimmers from both sides. Special attire is required (white collared shirt with navy shorts)
